This application and its associated digital services are operated on behalf of Achimota Golf Club (acting as the Data Controller) by AmGap Tech (acting as the certified Data Processor). AmGap Tech is registered and certified with the Ghana Data Protection Commission (DPC), ensuring that all data storage, processing workflows, and technical operations adhere strictly to Ghana's statutory data protection principles.

We only collect personal information that is strictly necessary for legitimate club operations, booking management, and membership administration:

Identity & Contact Details: Full name, email address, phone number, and residential/postal address.
Membership Particulars: Handicap index, member category, date of birth, emergency contact details, and proposer endorsements.
Tee-Time & Guest Bookings: Player names, booking times, party members, and temporary cooldown verification records.
Billing & Payment Information: Transaction identifiers and payment status (processed securely through authorized payment gateways; we never store raw credit card numbers or PINs).

3. Lawful Basis & Purpose of Processing

Under Act 843, your data is collected and processed under the following legal bases:

Contractual Necessity: To issue membership credentials, manage tee bookings, process green fees, and facilitate golf competitions.
Legitimate Interests: To maintain course safety, manage club operations, prevent fraudulent multiple bookings, and communicate critical club notices.
Explicit Consent: Where you provide consent for marketing communications, newsletters, or optional club inquiries.
Legal & Tax Compliance: Maintaining accounting and financial records in line with Ghana Revenue Authority (GRA) requirements.

4. Third-Party Processors & Data Protection

We do not sell, rent, or lease your personal information. Data is only shared with trusted third-party service providers bound by strict confidentiality and data protection agreements:

Payment Processors: Paystack and Payswitch for encrypted, secure payment handling.
Communication Gateways: Moolre, SMSNotifyGH, and transactional email providers for booking confirmations, OTP verifications, and tee-sheet reminders.

5. Data Retention & Anonymization

We retain your personal information only as long as necessary to fulfill the purposes for which it was collected:

Active membership and account profiles are retained for the duration of your membership.
Financial and transaction receipts are retained for a minimum statutory period of six (6) years in accordance with Ghanaian tax regulations.
Upon an account deletion or erasure request, identifying data is either scrubbed or permanently anonymized.
